HR Processes Held Back by Poor Search and Storage

The Client wasn't satisfied with how employees collaborated on HR-related activities, and its HR team lacked convenient employee search and structured document storage — which dragged on the efficiency of HR processes and the team's performance. The Client wanted an HR-focused employee portal to streamline these processes, make HR documents easy to reach, and raise employee engagement.

An HR-Focused SharePoint Portal With a Social Side

INNERLUXES analyzed the Client's needs and built an HR-focused portal in SharePoint around three main areas.

Home page

The team added useful links to the home page for quick access to key information — directing employees from HR and other departments to payroll and recruitment details, the employee handbook, insurance forms and plans, and corporate policies, plus a lunch-menu quick link to make ordering meals easy. The home page also surfaces corporate news as a slideshow of cycling pictures and shows announcements based on the user's location. INNERLUXES integrated the portal with Facebook, LinkedIn, and Instagram, so employees can share news and ideas straight from the home page.

Staff directory

The staff directory lets employees be searched not just by name or position but also by parameters like Manager, Hire Date, and Availability. Employee profile pages are searchable and hold details on skills, education, contacts, and other personal information, along with the projects each person is tied to — INNERLUXES added two web parts that pull project data from SharePoint libraries and show three current and five past projects with relevant pictures and delivery dates.

Corporate life

The corporate life page brings together birthday and work-anniversary boards, a discount club section, and classifieds, plus an event calendar showing holidays and business events.

A Portal That Balances Business and Social

The Client received a robust employee portal focused on HR activities with a good balance between business and social features. It helps employees quickly reach important HR information and corporate news, easily find colleagues' profiles through varied search filters, and connect via social media — all contributing to better collaboration at the team and company levels. The social features, in turn, support employee engagement and adoption of the portal.
