Intranet Development to Formalize Work Processes and Nurture Corporate Culture
Summary
A North American manufacturer lacked a centralized hub for its content and wanted to formalize its internal processes while making them engaging for employees. About the Client
The Client is a North American manufacturing company that produces car keys and keys for locks and padlocks.
The Challenge
The Client didn't have a centralized hub for all of the company's content, which led to ineffective document management and employee collaboration. The Client also needed to formalize the company's internal processes so employees could easily learn and follow them, and wanted to address these challenges with an intranet. In addition, the intranet needed a range of social features to make it engaging for employees and facilitate communication.
The Solution
The Client chose SharePoint Online as the basis for its corporate intranet and turned to INNERLUXES for assistance with the implementation.
To clarify the project scope, INNERLUXES provided the Client with detailed questionnaires, then analyzed and discussed the results with the Client to elicit technical intranet requirements. With all the required information gathered, the team built an intranet in conformity with the Client's needs. Its focal elements included:
Process map
This section contained the main process map, which showed all of the company's business processes — including production, supply management, maintenance, industrial safety, HR, and IT — and provided access to specific maps of these processes. For example, the production process map consisted of the following blocks: planning, production, process inspection, production release, and quality control.
To facilitate process mapping, INNERLUXES developed a custom builder. With it, the Client's dedicated employees can combine, frame, and connect blocks with lines according to preset rules. The system behind the builder analyzes the rules and recommends compatible blocks for connecting.
Document management
The company operates various types of documents, such as policies and technical specifications. To streamline document management, INNERLUXES created an approval workflow using Microsoft Power Automate. With it, a document owner can send a document for review and two-step approval — by the Quality Manager and the Managing Director — which accelerated document-driven business processes.
Quick links
To enable easy access to the company's key information, INNERLUXES implemented quick links to process maps, documents, projects, and policies, along with a quick link to Microsoft Teams to facilitate employee communication and collaboration.
Social features and branding
To increase employee engagement, INNERLUXES implemented a number of social features — news, events, surveys, idea sharing, and birthdays. The team also introduced a branded intranet design consistent with the company's website, maintaining the consistency of the company's digital environment and helping promote corporate culture, values, and goals among employees.
