Below is a reference architecture for automating the appointment management workflow using Microsoft Power Automate. This is a high-level, conceptual overview — the actual build will always be shaped by your specific systems, requirements, and integration landscape.

RPA flows in Power Automate come in two forms. Cloud flows use built-in connectors to communicate with internal systems like EHR, PMS, and CRM as well as external services like email and SMS. Desktop flows handle legacy platforms that don’t support modern APIs by replicating human actions — logging in, clicking, copying data — running on autopilot without anyone at the keyboard.

Both types of flows can be configured by non-technical users. A hospital administrator can describe what they need in plain language to Microsoft Copilot, which generates a draft workflow that the administrator can then refine.
